Privacy Policy

This policy explains what information Khodz Academy collects, why, and how it's handled. It applies to anyone who creates an account, applies to a programme, or otherwise uses khodz.academy. We aim to comply with the Ghana Data Protection Act, 2012 (Act 843).

1. Information we collect

When you register or apply, we collect information you provide directly, including:

• Account details: full name, email address, phone number, and (if you sign in with Google) your Google profile name/photo.
• Admission profile: date of birth, gender, address, education background, occupation, emergency contact, how you heard about us, and your motivation for applying.
• Payment records: which course, payment type, and amount you paid, and a Paystack transaction reference. We never receive or store your card number, mobile money PIN, or bank credentials — those are handled entirely by Paystack.
• Usage data: which lessons you've accessed, assignment submissions, and login activity, used to run the student dashboard and progress tracking.
• A profile photo, if you choose to upload one.

2. How we use your information

• To create and manage your account, and to grant/track access to the courses you've paid for.
• To process payments and send you payment receipts and balance-due reminders.
• To send account, course, and payment-related communication by email and/or SMS.
• To respond to support requests and improve the Platform.
• To meet legal and accounting obligations (e.g. maintaining payment records).

We do not sell your personal information to third parties.

3. Who we share it with

We share the minimum data necessary with the service providers that run the Platform on our behalf:

• Supabase — hosts our database and handles authentication.
• Paystack — processes payments; receives your email and the amount charged, not your Khodz Academy password.
• Resend — delivers transactional emails (receipts, reminders, welcome emails).
• Quick SMS — delivers SMS notifications to the phone number you provide.
• Cloudinary — stores profile photos you choose to upload.
• Google — if you choose "Continue with Google" to sign in.

We do not share your data with advertisers.

4. Data retention

We retain account and payment records for as long as your account is active and for a reasonable period afterward to meet accounting, tax, and legal obligations. You can request deletion of your account as described below, subject to records we're required to keep by law.

5. Your rights

You can, at any time:

• Access or correct your profile information from your student dashboard settings.
• Request a copy of the personal data we hold about you.
• Request deletion of your account and associated personal data, subject to legal/accounting retention requirements.
• Opt out of non-essential email or SMS communication (payment and account-security notices are not optional while your account is active).

6. Security

We use industry-standard measures — encrypted connections (HTTPS/TLS), access-controlled databases, and role-based admin permissions — to protect your data. No system is 100% secure, and we encourage you to use a strong, unique password for your account.

7. Cookies

We use essential cookies to keep you signed in and to remember your session. We do not use third-party advertising or tracking cookies.

8. Children's data

Our Kids & Teens Coding Camp collects a minor's information only with a parent or guardian registering and consenting on the child's behalf.

9. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be communicated by email to registered users.
